Summary
The Office Coordinator provides support to our cross-functional teams based at our Richmond brewery and Sauer warehouse and is a key member of our administrative team. This role works closely with our administrative, brewery operations, logistics and sales teams while also staying connected to our headquarters offices in Southern California. The Office Coordinator keeps our teams moving, from assisting with office and program management, providing administrative support for the operations and sales teams, overseeing office vendors and supplies, and coordinating various activities onsite.
Responsibilities
- Provides administrative support including ordering office supplies, requesting and coordinating office equipment repairs for both Richmond Brewery and Sauer Warehouse locations
- Coordinates and distributes incoming/outgoing daily mail and shipments
- Oversees office common areas including conference rooms and break rooms, ensuring areas are stocked with necessary supplies and materials and providing support in room scheduling when needed
- Maintains the mail supply cabinet, managing vendors, ordering, and distributing supplies for building
- Enters and processes purchase orders within the company invoicing system as needed
- Assists with processing monthly expenses for select teams
- Supports local office communication including digital signage content specific to the Richmond team
- Assists with coordination and support of local meetings, team events and activities including catering needs
- Receives and directs local visitors, vendors, and customers to appropriate locations and parties
- Manages and distributes prox/access cards for Richmond sites
- Maintains sales distributor and retailer contact sheets in partnership with sales team members
- Provides periodic support with sales team meeting coordination including arranging meeting spaces, hotel blocks, food & beverage ordering, etc.
- Serves as primary point of contact for the company business card ordering process
- Assists in planning and distribution of beer for executive tasting panel sample arrivals
- Supports Sr. Executive Assistant with scheduling, meeting arrangements, etc.
- Collaborates with their counterpart based in Escondido, CA, providing support and coverage for one another when needed
- Supports other departments with various projects as needed
- Other duties, responsibilities and activities may change or be assigned at any time with or without notice
- 2-4 years of related administrative experience preferred
- High school diploma and/or administrative training strongly preferred, Bachelor’s degree a plus
- Proficiency with software to include Outlook, Excel, PowerPoint, and Word required
- Experience working with SharePoint, Microsoft Teams a plus
- Strong interpersonal, verbal, and written communication, and collaboration skills alongside a professional demeanor
- Detail-oriented, decisive, and assertive with creative problem-solving skills; effectively managing internal and external stakeholders at all levels
- Must be a self-starter – ambitious, takes initiative, and thrives in environments with minimal supervision
- Master multi-tasker with the ability to juggle multiple tasks/projects, prioritize appropriately and work under pressure to meet sensitive deadlines
- Highly energetic, optimistic, and passionate about contributing to team culture

Compensation, Benefits & Perks
- Pay Range: $22.00/hr. - $24.00/hr.
